Clinical Agreement
Terms of Engagement

Welcome to Sepals Psychology Ltd. Therapy should be a safe and helpful space for you. In order to ensure this, it is important that we have a shared agreement in place. Please read these terms carefully before engaging our services.
1. Crisis & Emergency Disclaimer
Important: Non-Emergency Service
Sepals Psychology Ltd does not provide emergency cover. If you, your child, or another person is at immediate risk of harm, please contact emergency services on 999, visit your nearest Accident & Emergency department, or contact your GP immediately.
2. Appointments & Cancellations
Therapy is most effective when committed to with regularity. Our cancellation policy is strictly enforced to manage clinical capacity.
- 3 Working Days Notice: Appointments cancelled with more than 3 working days' notice will receive a full refund or credit.
- Late Cancellations: Appointments cancelled with less than 3 working days' notice are chargeable at 100% of the session fee.
- Definition: "Working days" refers to Monday to Friday, excluding UK Bank Holidays.
- Clinician Cancellation: In the rare event that we need to reschedule, we will provide as much notice as possible.
3. Fees, Payment & Expiry
- Payment Terms: Fees are agreed prior to therapy starting. Payment is required prior to the appointment to confirm the booking.
- Session Expiry (Important): Therapy sessions must be booked and completed within six months of payment being received. Sessions not used within this timeframe will be considered lost/expired.
- Refunds on Expiry: A 50% fee will be charged for any refund requested after the 6-month period. No refunds will be issued after one year.
- Insurance: If using private health insurance, it is your responsibility to ensure costs are covered. You remain personally liable for any non-payment by your insurer.
4. Online Therapy & Technology Protocols
For sessions conducted online (e.g., Microsoft Teams), you must ensure you are in a private, confidential space with a strong internet connection.
Connection Loss Protocol
- If connection is lost, the therapist will attempt to call you on your mobile to troubleshoot.
- If the therapist cannot reach you, please call the clinic number immediately.
- If the problem occurs in the first 15 minutes due to technical failure on the therapist's side, a replacement session will be offered free of charge.
- If the failure is on the client side (e.g., battery failure, poor signal, driving) or occurs after 15 minutes, the full fee remains payable.
5. Intellectual Property
All materials provided by Sepals Psychology Ltd, including the "Apex Home Intervention Kit," "The Stabilisation Deck," and all website content, are the proprietary intellectual property of the company.
Licence: Your purchase grants you a single-family licence. You are strictly prohibited from copying, distributing, sharing, or reselling these materials for commercial purposes (including within tutoring agencies or schools) without our express written permission.
6. Confidentiality & GDPR
We are registered with the Information Commissioner's Office (ICO). All clinical notes are stored securely in line with GDPR (2018).
- Supervision: As per HCPC standards, clinical work is discussed in supervision with a senior psychologist. Client details are anonymised.
- Breach of Confidentiality: Confidentiality will only be breached if there is a significant risk of harm to yourself or others, or if required by law.
